Key Responsibilities / Tasks
• Ensure alignment with overseas suppliers on cargo readiness, loading status, and confirmed shipping schedules.
• Coordinate the execution of required electronic payments in line with shipment and customs requirements.
• Review, validate, and monitor shipping documentation to ensure accuracy, completeness, and compliance with import regulations.
• Coordinate and monitor customs clearance reservations and related activities with customs brokers and clearance teams.
• Oversee customs clearance activities performed by freight forwarders and engage with customs authorities whenever escalation or intervention is required.
• Follow up with freight forwarders and relevant authorities to secure final health and regulatory approvals for imported materials.
• Issue and manage ACID numbers for all import shipments in compliance with Egyptian customs regulations prior to shipment dispatch.
• Provide daily inbound delivery visibility and updates to warehouse and supply chain stakeholders.
• Secure all banking and trade finance documentation, including Form 5, under-reservation documents, adoption value documents, and any additional bank verification requirements.
• Coordinate the issuance of veterinary permits and approvals when applicable.
• Review and validate customs clearance invoices and ensure timely submission to the Finance Department for payment processing.
• Initiate and follow up on supplier credit notes resulting from discrepancies in labels, documentation, or shipment details.
• Coordinate with suppliers to obtain document amendments, corrections, or additional documentation required to facilitate customs clearance.
• Review and approve shipment labels with suppliers to ensure compliance with local regulatory and company requirements.
• Manage end-to-end shipment bookings and transportation arrangements with freight forwarders, shipping lines, airlines, and transport providers.
• Issue pre-alert notifications and distribute complete shipping documentation packages to designated customs brokers and clearing agents.
• Prepare and communicate weekly inbound delivery plans to warehouse operations to support receiving activities and inventory planning.
• Submit and monitor bank declaration requests in coordination with Treasury and relevant financial stakeholders.
• Manage cargo insurance claims and recovery processes in cases of damage, loss, or shortage.
• Monitor shipment milestones and proactively track transportation schedules to ensure on-time delivery performance.
• Maintain and continuously update storage utilization and shipment tracking records to ensure operational visibility and reporting accuracy.
• Coordinate with customs brokers and clearing agents regarding invoice amendments, customs requirements, and supporting documentation during the clearance process.
Experience
- Minimum 5+ years of experience
Skills/Qualifications
- Excellent command of the English language.
- Proficient computer skills in MS Office Applications.
- People-oriented.
